Job Description:

New England Cancer Specialists (NECS) is currently seeking a full-time Monday-Friday Administrative Medical Supervisor in our Kennebunk, ME and Portsmouth, NE Clinics. The Administrative Supervisor is responsible for the day-to-day functions of all non-medical clinic departments within our oncology. These positions include Medical Schedulers, Front Desk, and Prior Authorizations team members. This position will maintain a working knowledge of each role for emergency coverage situations. Duties include scheduling ensuring continuous coverage, offering direction and support to direct reports, coordination of and training all new hires in assigned departments, participating in coaching opportunities, and working on process-driven projects. The Admin Supervisor will report directly to the Office Manager and work closely with the Administrative Supervisor in our other clinics.

Essential Duties and Responsibilities:

Supporting Clinical Operation

  • Schedule PCCs, First Responders, Front Desk Reception, and medical records to ensure appropriate coverage.
  • Provide coaching and direction to all direct reports, promoting and developing an environment of teamwork and continuous improvement. Schedule and facilitate regular meetings with each department.
  • In collaboration with the Office Manager, responsible for recruitment and employee relations activities.
  • Coordinate onboarding activities of all new hires in assigned departments.
  • Responsible for the proper training of all new PCCs, First Responders in accordance with the Demonstration of Competency for each role; Front Desk Staff with coordination from the Billing Office manager; and medical Records Associates in coordination with the NECS Privacy Officer.
  • Provides emergency backup coverage for assigned departments as needed. Will be able to fully cover those areas should the need arise.
  • Manage day-to-day activities to ensure uninterrupted workflow in all areas of responsibility.
  • Work collaboratively with Providers, Leadership team, Nursing, research, Laboratory, Pharmacy, Business Office, HR, Genetics and IT.
  • Work directly with the Office manager to identify challenges and process improvement opportunities, developing and implementing effective solutions.
  • Communicate needs of assigned departments to appropriate leaders.

Staff Education

  • Work with the Office Manager to identify and develop and/or training needs for assigned departments to support continuing education opportunities.

Experience and Skills:

  • Associated Degree
  • Minimum of two years supervisory experience in a medical office
  • Willingness to learn and remain flexible in the changing healthcare environment
  • Ability to assist staff in times of crisis or emergency.
  • Ability to conceptualize, develop and implement new ideas or systems
  • Ability to exercise sound judgment and discretion while performing duties
  • Ability to determine work priorities, assign work, and ensure proper completion of work assignments.
  • Strong organizational skills and be able to manage multiple tasks at the same time
  • Self-starter, strong team player and leadership abilities, with strong customer service and communication skills, both written and verbal.
