Job Description:

New England Cancer Specialists (NECS) is currently seeking a full time, Monday-Friday Medical Secretary/ Prior Authorizations Specialist for our new Portsmouth NH facility.  This position is primarily a work from home remote position with frequent to travel on site to Portsmouth as needed.  During training the candidate will also need to have the ability to travel to our Kennebunk ME location. The Prior Authorizations Specialist is responsible to acquire insurance prior authorizations for all NECS providers. This specific position will cover PA's for our new Portsmouth, NH clinic and will require periodic travel to Portsmouth. This position is responsible for making substantial outbound calls to insurance companies and working within multiple insurance payer portals to complete prior authorizations primarily for imaging, inpatient admissions, second opinions, specialty labs, and procedures. Answers multi-line phone system, triage calls, resolves issues and answers questions, takes detailed messages, redirects callers if necessary, forwarding calls to appropriate persons. Maintains confidentiality, meets deadlines and is able to problem-solve. Demonstrates superior customer service skills and the ability to be an effective team player.

Job Duties:

  • Complete prior authorizations for all tasked orders. Communicate clearly with physicians and physician-lead teams any issues or delay in completion of tasks/authorizations.
  • Document clearly and accurately within Electronic Medical Record.
  • Schedules appointments with patients for authorized orders, either by phone or in-person after an office visit, following all scheduling guidelines. Works within EMR, ensuring appointments are scheduled to match physician/clinician/procedure availability with patient’s preferences in terms of date and time.
  • Collects and submits clinical information to insurance companies. Writes appeal letters to insurance companies as needed.
  • Communicates clearly and professionally to patients and staff. Accurately communicates all necessary instructions for upcoming appointments, scans or procedures to patients.
  • Returns all phone calls by the end of the same business day.
  • Communicates consistently and frequently with provider teams, and changes to or effecting patients care plant to ensure the best possible care for every patient. Actively participates in weekly team meetings.
  • Scans medical records according to NECS guidelines.
  • Sorts and routes incoming mail and faxes for prior authorization department.
  • Successfully maintain a pleasant, professional demeanor under stressful conditions working with a wide range of patient personalities.
  • Supports Medical Records with scanning documents into the EMR.
  • Other duties as assigned by Office Manager.

Travel: Occasional to Frequent

Experience and Skills:

  • High school diploma or GED required.
  • Minimum one year in Medical Prior Authorizations required, with experience is oncology or specialty medicine perfferd
  • Knowledge and application of medical terminology required.
  • Previous experience with electronic medical record systems required.
  • Exceptional customer service experience required.
