Job Description:

New England Cancer Specialists (NECS) is currently seeking two full time Administrative Medical Assistant to join our growing Oncology Practice. The Administrative MA will support the patient and clinical team by assisting with chart prep, education materials, care plans, answering basic patient questions and more.  They will be crossed trained with the MA I and II functions and asked to step in to those areas as needed.  

NECS is a private medical practice composed of 16 oncologists and hematologists serving the state and region from 5 different locations in Maine and New Hampshire. Job Duties:

Responsible for performing administrative duties for the assigned team including but not limited to

  • Prepping visit charts for clinic and telehealth appointments
  • Printing educational materials and care plans as directed by provider team
  • Printing Medical Certificates as prescribed by the provider
  • Scanning, printing or faxing required documents
  • Triaging dashboard calls and handling in accordance with established workflows
  • Conducting oral adherence calls as directed
  • Obtaining prior authorizations for non-chemotherapy medications
  • Completing Disability/FMLA paperwork for patients
  • Assisting in managing patient referrals for testing and other types of visits
  • Participating in team meetings as a member of the provider team. 
  • Follows all HIPAA guidelines 
  • Willingness to travel and work at satellite offices when the need arises
  • Help PCC's and Medical Assistants as needed

Monday-Friday work week, no nights.

Experience and Skills:

  • Must have a degree or certificate in Medical Assisting from an accredited school of Medical Assistance. 2 year Associates degree in a Credentialed Medical Assistant program strongly preferred.
  • You must have (1) of the following credentials or be eligible to obtain (1) of the following credentials, based upon the credentialing organization's eligibility requirements within 90 days of hire:
    • Certified Medical Assistant (CMA)- from AAMA, American Association of Medical Assistants
    • Registered Medical Assistant (RMA) from AMT, American Medical Technologists
    • Certified Clinical medical Assistant (CCMA) from NHA, National Healthcareer Association
    • National Certified medical Assistant (NCMA) from NCCT, National Center for Competency Testing
    • Registered Medical Assistant (RMA) from ARMA, American Registry of Medical Assistants
    • National Registered Certified Medical Assistant (NRCMA) from the NAHP, National Association for Health Professional.
  • Previous experience with insurance prior-authorization, medication refills, and preparing charts preferred.
  • Active BLS preferred
  • Experience with and ability to understand patient medical records, physician's orders and medical orders.
  • Understand an conduct yourself in accordance with accepted clinical standards and the ability to maintain strict HIPAA compliance
  • High level of computer skills and experience with electronic medical records (EMR's) is required
  • Ability to communicate with patients, family members, co-workers and providers in an effective and compassionate way.
  • Must have high level oral and written communication skills, typing skills are required.
  • Must be able to multi-task and work with multiple providers
  • Must be adaptable to being in front of patients or may be assigned to a work station outside the clinic
